RE: CUPE 3902 Unit 1 - Information Update - August 2010

This bargaining unit includes teaching assistants, tutors, markers, Chief Presiding Officers, invigilators and course instructors who are postdoctoral fellows, undergraduate students in the University of Toronto, or graduate students in the School of Graduate Studies of the University of Toronto.
The electronic version of the 2008-2011 collective agreement can also be found on the Human Resources and Equity website at:

September 1, 2010 Wage Increases

All wage rates in this bargaining unit will increase effective September 1, 2010. Please ensure that your offer letters and related payments reflect the new wage rates.

The full wage table for the bargaining unit can be found here:

Data Integrity Issues - HRIS Reason Codes

It has come to the attention of Labour Relations that a number of HRIS entries have been made using the incorrect reason code. While the SGSI and SGSII wage rates have been the same for some time, it is still imperative that the HRIS entry be made with the appropriate reason code. Errors in coding lead to errors in data analysis, which can impact everything from general reporting to subsequent appointment errors to collective bargaining.

We ask that those of you who are engaged in entering pay information take care to ensure that you are using the appropriate reason codes.

Leaves of Absence from Academic Program

There is an agreement between the University and the Union which permits students on an approved leave of absence from their academic program to continue to perform work covered by the provisions of this collective agreement (i.e. they can still be a TA). If you have a student in this situation, please contact Labour Relations to discuss the matter further. There may be some situations where further information gathering and assessment is required to ensure the student can continue to work (e.g. medically-based leave) or they may also be entitled to a leave under the provisions of the collective agreement (e.g., pregnancy/parental leave).

Unit 1 to Unit 3 Transition

A reminder that a student remains eligible to take up Unit 1 work until they have actually convocated (i.e. crossed the floor). Completion of examinations or successful dissertation defence does not end a student's Unit 1 eligibility. A person's status at the time an appointment starts is key.

For example, if a graduate student successfully defends his/her dissertation in August 2010, but will not convocate until November 2010, he/she is eligible for appointments in F-courses and Y-courses for 2010/11. He/she will have to apply to available Unit 3 work for S courses in 2010/11 (i.e. January 2011 start).

If a student has lapsed, he/she is eligible to apply for Unit 3 work. If/when he/she returns to the University for the purpose of thesis defence, he/she remains eligible for Unit 3 work only (i.e. they do not return to Unit 1).

If a student ceases to be registered in the middle of an appointment for any reason other than convocation, please contact Labour Relations to discuss next steps.

Description of Duties and Allocation of Hours Documentation Revision

We have updated the Description of Duties and Allocation of Hours Form Tip Sheet and Template on our website. A reminder that this must be provided within 15 days of an offer of employment. Further, we cannot compel a potential TA to accept a position without producing this document if they so request.

A link to these documents, and other useful reference tools for this employee group can be found here:
